Realtec Community Services (RCS) manages Ford’s Colony HOA in Williamsburg, VA — a community of over 5,000 residents with 2,500+ homes, multiple condominiums, pools, tennis courts, 48 miles of private roads and 2,700 acres. RCS relied on unwieldy Excel spreadsheets that couldn’t track recurring maintenance, handle a growing volume of resident requests, or provide the detailed weekly and monthly reports required by 13 HOA committees and the Board.
RCS implemented eMaint CMMS, loading all recurring work orders and customizing work order fields within 30 days, plus adding a web-based resident request form for daily approval, assignment and tracking. The result was faster turnaround on service requests, higher work-order completion rates, automated committee reporting, improved resident communication and the ability to monitor “self-help” preservation on abandoned properties.
