HQLabs is a SaaS company that runs two products — HQ, an ERP for professional services, and awork, a self-service project-management and time-tracking tool. As both products scaled, their manual, outbound-driven sales and invoicing for HQ became error-prone and slow, acquisition channels were limited, and churn was handled reactively because billing and subscription processes weren’t automated.
HQLabs implemented Chargebee for subscription billing and integrated it with Zapier and Typeform to automate affiliate onboarding, coupon issuance, payout calculations, and cancellation alerts. The new workflow cut subscription and billing effort by about 90%, generated roughly a dozen affiliate partners within days with minimal effort, and enabled proactive churn notifications — creating a scalable, low-touch acquisition and billing system.
