Charles Darwin University (CDU), a multi-site Australian university with online course delivery and a complex information environment, needed better control over high-value and sensitive data across Microsoft 365. CDU turned to Castlepoint Systems and its Castlepoint platform to help manage records, retention, risk, and compliance across SharePoint Online, Teams, Exchange Online, and the university intranet.

Castlepoint Systems implemented a cloud-based command and control system that mapped CDU’s data against retention, ontology, and risk rules, and converted the Northern Territory Government disposal schedule into rules-as-code. The system was installed and live in four days for under $20,000 ex GST, and it now manages 7,688 sites and mailboxes, with 824K items in over 6,000 records and 14M key phrases and named entities extracted, helping CDU improve efficiency, reduce risk, and automate records sentencing.
