Beaverton School District, serving about 40,000 students across 51 schools, faced inefficient, paper-based facility scheduling that reduced transparency, slowed approvals, hindered cost recovery and made it harder to coordinate safety and maintenance across departments. The district needed a streamlined, auditable system to manage heavy community use of fields, auditoriums and classrooms while protecting students and taxpayer resources.
The district implemented Dude Solutions Event Management with online request forms, a single centralized calendar and revised fee and policy structures (including tiered rates for fields and auditoriums). The change eliminated paper forms, sped approvals, saved principals time, improved interdepartmental communication for maintenance and safety, increased cost recovery (including custodial overtime), and made emergency coordination—such as water testing—more efficient and secure.
