Account Request Processes Now Run 3 Times Faster Thanks to Bonita

Old Dominion University (ODU), a large public research university with over 24,000 students, needed to replace a manual, paper-based account request process that pulled user data from multiple systems and provisioned sensitive services (email, LAN, UNIX, file shares). The project required extending the existing MIDAS identity management system, connecting to institutional databases, and performing eligibility checks to automate and secure account creation. Bonitasoft (using Bonita BPM) was engaged to address these challenges.

Bonitasoft implemented a BPM solution that created a workflow with five sub-processes to handle approvals and account creation, plus a daily reminder process for open tasks, and integrated decisions with over 300,000 audit rights in the ERP. As a result, ODU processes about 15% of daily account requests online (growing), reduced turnaround for online requests from three days to one day (three times faster), and automated audits for smoother compliance—leading ODU to plan broader use of Bonitasoft’s BPM.
