Journey to Fundraising Automation Streamlines Manual Processes for BIG Savings

Orange County School of the Arts (OCSA) and its sister campus California School of the Arts – San Gabriel Valley are tuition-free arts schools serving grades 7–12 across 33 conservatories. Relying on parent donations for roughly 20% of their budget, the schools faced a labor-intensive, paper-driven fundraising process—manual pledges, thousands of mailed invoices and receipts, and months of staff time using Raiser’s Edge—so they needed robust online forms, automated pledge processing, and better integration with their CRM.

By pairing Qgiv’s donation forms, peer-to-peer fundraising tools and Fundraising Hub with DonorPerfect’s CRM (including a custom API integration), the schools automated pledges, invoicing and reporting, consolidated receipts, and enabled conservatory-specific giving. The new system eliminated bulky mailings, moved about 90% of payments online, and saves the team over three months of work each year while improving donor experience and fundraising efficiency.
