Bitcube developed an AI scheduling engine for Global Mediation, a UK-based mediation firm, to automate the complex task of arranging SEND mediation meetings. The challenge was to negotiate a suitable date between five different participant types according to a layered set of business and local authority rules, all while integrating with an existing case management system and ensuring safe, constrained communication from a third-party AI service.

The solution built by Bitcube involved a multi-phase project that created a rules-driven engine, integrated it with the case management system, and implemented robust guardrails on AI-generated correspondence. The results gave Global Mediation the ability to automatically schedule mediations without manual intervention, returned control of business rules to the client, and ensured the case management system remained the single source of truth. The rollout was designed with a safety-first approach, logging all generated replies before any are ever sent.
