Brawn cuts billing drift with Bitcube’s 21 health checks

Brawn, a UK company that sells small group strength training programs to gym operators, faced significant challenges with its five-year-old billing and booking platform. The system's billing state was inconsistently stored across its own tables and the Maxio subscription service, leading to frequent errors where members were charged incorrectly or couldn't book sessions. This also caused wrong payouts to self-employed trainers. The complexity was heightened by each gym operator having unique branding and payment configurations, and four separate applications relied on the same API. Bitcube was engaged to help resolve these critical issues.

Bitcube implemented a multi-phase solution, introducing a credit-based booking system to ensure every session traced back to a payment. They built preview APIs, a dedicated trainer onboarding app, and per-brand payment configurations. A live migration of existing memberships to Maxio was successfully executed after being rehearsed against 30 scenarios. The solution was capped with 21 automated health checks and one-click repair tools to prevent silent billing failures. As a result, Brawn continued trading without interruption, billing errors were eliminated, and dependency vulnerabilities were drastically reduced from 52 to 2, with none critical or high.
