Demelza Hospice Care for Children, which supports seriously ill and terminally ill children and families across Kent, South East London and East Sussex with over 1,000 volunteers, faced fragmented volunteer processes using donor software, spreadsheets, paper forms and MailChimp. That manual, error-prone approach left managers without access to consistent volunteer data and consumed large amounts of staff time, so Demelza moved to a dedicated volunteer management system from Better Impact—implementing the Volunteer Impact platform to centralize and secure volunteer information.

The change saved an estimated 1,376 hours/year (valued at £16,538) with a calculated 1,553% ROI, cut onboarding from ~3 months to ~2 hours, eliminated 6 hours/week of data entry, improved satisfaction/efficiency/effectiveness scores significantly, increased data security (including 2FA), and enabled service expansion (three new staff and 50+ monthly drives), while keeping recruitment running through the pandemic.
