Kalmar, a Finland‑headquartered leader in cargo handling operating in 30+ countries, faced a major operational challenge when it spun out from Cargotec and became an independent listed company. The divestment created a compressed timeline and complex IT changes, exposing inefficiencies in legacy invoice processing that risked delays, errors, and manual scanning burdens.

Working with long‑time partner Basware, Kalmar implemented Basware’s AP automation and SmartPDF to replace OCR and manual validation with rule‑based, automated processing. The solution eliminated scanning, introduced proactive error reporting and ticketing, and cut invoice intake from as long as 48 hours to about 2 hours—freeing staff for strategic work, improving payment timeliness, and reducing recurring errors.
