Inventory system Helps Wintergreen Fire & Rescue with expiration date tracking and monitor quantities at multiple sites

Wintergreen Fire & Rescue is a nonprofit EMS and fire service serving Wintergreen Resort and nearby Nelson and Augusta Counties, operating three stations with 28 full‑time staff, 40+ volunteers and over 20 vehicles. Managing roughly 150 line items—including many consumable medical supplies with short expiration dates—and assets that move between stations and ambulances, they needed an easy-to-use inventory system that could track expirations and multiple locations.

They implemented ASAP Systems’ Passport inventory and asset‑tracking solution, using features like expiration, batch/lot and serialized tracking plus receipt/pick/issue workflows. Passport provided real‑time visibility across three locations, reduced time spent on manual counts, improved ordering accuracy and on‑hand levels, and cut unnecessary orders and expired stock.
