Ichihara City Simplifies Microsoft® SharePoint® Permissions Management for 2,250 Users with DocAve®

Ichihara City, a Japanese municipal government serving about 280,000 residents, had adopted Microsoft collaboration tools but faced major information-management challenges: documents scattered across file servers and unused SharePoint sites, slow and unreliable search and recovery, complex folder-level permissions, and the need for a searchable employee directory. The city needed to centralize document management, implement People Search from HR/AD data, enforce governance, and simplify permissions administration for roughly 2,250 users.

Using AvePoint’s DocAve suite (including DocAve Administrator, Report Center, Storage Manager, Content Manager, Backup & Restore, Replicator and AvePoint Meetings), Ichihara automated bulk permissions changes, enforced and auto-reverted out-of-policy actions in real time, imported employee profiles for richer People Search, and redesigned portal templates and auto-tagging to boost findability. The solution reduced IT burden, improved governance and file recovery, generated usage reports for ongoing optimization, and accelerated end-user adoption after the SharePoint 2013 launch in March 2015.
