University Creates Scheduling Simplicity, Unique Partnerships with Meeting Room Manager

The University of Tennessee–Knoxville transformed the 50-year-old James A. Haslam II Business Building into a high-tech center with 75 offices, 34 classrooms, 35 team rooms and multiple event and presentation spaces. That scale created a major challenge: students, faculty and staff needed an easy way to reserve rooms and gain secure access without phone calls, carrying a second ID, or managing another account, and the solution had to integrate with existing campus systems.

The college selected AsureSpace Meeting Room Manager and worked with Coactive Systems and Gallagher to build a “triple-play” integration—using middleware to bridge scheduling, access control (Cardax) and security—delivering web and kiosk scheduling, door access and a unified user experience. The result is a fully integrated, widely adopted system with 42 branded kiosks, on‑the‑fly and advance reservations, streamlined access and stronger security—now considered essential to building operations with plans for further enhancements.
