White Lodging Services, a developer, owner and manager of 150 premium hotels, was overwhelmed by the volume of invoices coming from each property and the manual “paper shuffle” required to enter and route bills into their Lawson Accounts Payable system. To eliminate slow approval routing and make invoices searchable for audits, White Lodging Services engaged Ascend Software to implement invoice imaging and business process automation, including Ascend’s AP Business Automation, Advanced Workflow and ReportSafe solutions.

Ascend Software provided outsourced scanning (sorting, prep, scanning, initial indexing and routing validation), automatic “hands free” approval routing and real-time integration with Lawson so invoices are validated and posted immediately upon approval. The solution automates over 10,000 documents per month, saves White Lodging Services more than 160 hours each month in approval routing versus other systems, and delivers rapid document retrieval for audits and tighter control over AP, purchase orders and other records.
