The Telfer School of Management at the University of Ottawa — a faculty of 4,500 students, 200+ faculty, and 25,000+ alumni — set out to modernize higher-education marketing amid new leadership and a largely new team. Lacking institutional knowledge and relying on fragmented tools and spreadsheets, the marketing group needed a centralized system to implement a content-first, agile approach and improve cross-team collaboration and visibility.
They adopted Asana to consolidate workstreams, using Forms for intake, Timeline for campaign planning, and the Asana API to automate communication with non‑users. This shift streamlined request intake, sped up production, increased transparency and stakeholder trust, and automated follow-ups — enabling smoother large projects (like the annual Gala and a website redesign), better prioritization, and more time for high-impact work.
