DMEXCO is a major digital marketing trade show in Cologne that draws 40,000 visitors from 98 countries; a core team of about 60 people plus vendors run the event and support marketing, sales, and tech. Planning had relied on email, Slack, HubSpot, and Confluence, which led to lost knowledge, slow information retrieval, and unclear task ownership—making it hard to execute complex, time-sensitive projects.
IT lead Peter Knobloch introduced Asana, mapping real teams to projects and requiring requests to be submitted through the platform. Asana centralized work, made responsibilities and timelines visible, and let the team duplicate and iterate on prior-year projects—resulting in faster planning, easier onboarding/offboarding, measurable time savings, and higher team motivation; DMEXCO now plans each year more efficiently and is exploring deeper tool integrations.
