The School Board of Sarasota County, Florida — which manages more than 7.1 million square feet of facilities across hundreds of permanent and portable classrooms serving 43,000 K–12 students — was hampered by paper-based drawings, an outdated work management system, no remote work-order capability, and strict state reporting requirements. These limitations reduced technician productivity, made condition assessments and capital planning difficult, and risked noncompliance with the state F.I.S.H. reporting standard.
Sarasota implemented ARCHIBUS iTotal Infrastructure and Facilities Management (with partner M Group), converting floor plans to CAD, building an F.I.S.H.-compliant space database, enabling mobile access and remote work orders, and training staff — all in under six months. The district eliminated duplicate paperwork, cut two administrative positions saving $90,000 annually, improved service response, reduced equipment downtime and repair costs, and gained better warranty tracking and preventive maintenance; further savings are expected from optimized space use and capital planning.
