Cincinnati Public Schools: Modernization Program Accelerates with Advanced Building Maintenance

Cincinnati Public Schools, Ohio’s third-largest district, launched a $985 million, 10-year modernization program to rebuild and renovate about 70 schools and had to meet strict Ohio School Facilities Commission requirements for maintenance planning and asset reporting. To support ongoing capital and preventive maintenance, improve security and fleet oversight, and replace a slow, centralized manual work-order process, CPS needed a system that would ensure compliance and scale with thousands of annual requests.

CPS implemented ARCHIBUS (Building Operations, Space, Furniture & Equipment, and Fleet Management) with a custom iFM web interface delivered by business partners in4mation and ADSI. State-prescribed asset and PM data were integrated into ARCHIBUS, enabling self-service web work orders (over 15,000/year), better visualization, and automated links to floor plans; results included faster, more accurate processing, clear accountability (no lost work orders), improved key control for ~6,400 keys, and long-term preventive maintenance and replacement forecasting.
