Gateway Technical College, a Wisconsin higher-education institution serving over 23,000 students across eight sites, faced high no-show rates for advising and student support appointments—three to four missed appointments per staff member daily, with as much as 120 hours of lost staff time each day. Seeking an automated, customizable reminder solution that integrated with their Google calendar workflow, Stacy Riley selected Apptoto’s appointment reminder service.

Apptoto implemented voice and email reminders that automatically extract appointment data from Gateway’s Google calendars and centrally manage reminders across 44 Student Success Division calendars. Sending about 1,500 reminders per month to support 30 staff and six workshops, Apptoto helped cut daily no-shows from 3–4 to 0–1, dramatically reducing missed appointments and improving staff productivity at Gateway Technical College.
