The university struggled with repetitive, paper-based processes—more than 1,000 manual forms across departments—that caused errors, delays, limited auditability and compliance issues; HR processes alone cost an estimated $600,000 in staff time and had average processing times of 14 days during peak workloads.
QUT selected Appian’s low-code cloud platform to digitise and automate workflows, rolling out the first application in eight weeks and replacing paper forms with pre-populated online forms, automated rules, system integrations and robotic data entry. The transformation cut cycle time by 86%, enabled 35% of contracts to be awarded and accepted the same day, saved about 200,000 pages of printing per year, and delivered reported benefits including 50% cost savings, 75% risk reduction and a 61% improvement in customer satisfaction, while providing better visibility and audit trails for continuous improvement.
