Archstone, a large real estate investment and operations firm with roughly 350 communities and more than 86,000 units, was hampered by paper-driven operations and more than 900 forms scattered across portals, network drives and individual computers. That fragmentation made it difficult for front-line leasing agents to find the right forms, extended onboarding to as long as three months amid high turnover, and limited the company’s ability to enforce policies and operate efficiently.
Archstone selected Appian’s BPM suite to build a centralized, searchable forms repository and standardized workflows, rolling out simple field processes first and then broader corporate workflows with reporting, dashboards and notifications. The implementation reduced processing and onboarding time, consolidated many paper forms into single electronic processes with approval tracking, enabled employees to locate documents quickly (three clicks), and improved policy enforcement, accountability and customer service.
