Pentahotels, a +200 room lifestyle hotel group with properties across Europe, the UK, and China, needed a better way to manage group-wide menus, recipes, allergen and nutritional information, food costs, and cross-country kitchen consistency. Executive chef John King had been handling all of this manually in Excel, which made approvals slow, tracking inaccurate, and menu rollouts time-consuming across the group’s 27 head chefs.

To solve this, Pentahotels implemented Apicbase, a kitchen and recipe management platform that centralized menu information, step-by-step guides, costing, allergens, and nutritional data. With Apicbase, John King said menu rollouts now take days instead of weeks, approvals from HQ are much faster, and manual spreadsheet work has been greatly reduced. The solution also improved food cost accuracy and consistency, and cut travel costs by reducing the need for in-person training between hotels.
