Case Study: Common Sense centralizes and secures Google Drive to boost collaboration and onboarding with AODocs

A AODocs Case Study

Preview of the Common Sense Case Study

Common Sense needed a solution that would help them globally reset folder permissions and give corporate ownership to files created by users

Common Sense is a leading nonprofit helping kids and families navigate media and technology. When IT manager Nick Vasilopoulos migrated the organization to G Suite, he faced a major challenge: securing thousands of folders, resetting permissions, preventing oversharing across Drive, personal accounts, Dropbox and Box, and transferring ownership when staff left. He turned to AODocs to provide a G Suite–integrated document management solution (AODocs libraries) to centralize control and enforce corporate ownership and sharing policies.

AODocs migrated Common Sense’s content into department-specific libraries in Google Drive, enabled global permission resets, folder pushes to teams, browser-based Microsoft Office editing, file locking, and easier ownership transfers. The result: tighter security, smoother onboarding, and better cross-team collaboration — with Common Sense managing hundreds of thousands of files (736,242 files in AODocs) centrally and employees able to work on Office files directly in the browser, eliminating the need for separate storage services.
