A AMCS Fleet Maintenance Case Study
The City of Alcoa’s Support Services (fleet, purchasing and warehouse) was operating on a 20+ year-old, non‑integrated legacy MIS that left departments blind to real-time costs and usage. Manual, month‑end batch routines, no inventory reorder points, calendar‑only preventive maintenance, incomplete fuel/mileage data and limited reporting flexibility constrained operations and growth, all while managing an expanding fleet and inventory on a very limited budget.
To fix this they implemented and beta‑customized the DOSSIER32 Fleet Management MIS to integrate purchasing, warehouse and fleet functions, add barcode stocking, automated purchase orders, interactive fuel/mileage capture and mileage‑triggered PM reminders. The system merged inventories (~1,969 items), enabled proactive parts ordering and bulk purchasing, cut month‑end close from 6–8 hours to about 5 minutes, improved vendor relationships and maintenance scheduling, boosted driver accountability and delivered measurable cost containment and operational efficiencies.
