Indiana University Online’s Office of Online Education, which supports seven campuses and more than 135 online programs, needed a reliable way to measure marketing yield — how many “Request for Information” (RFI) prospects go on to apply, be admitted, and enroll. The challenge was messy, student-entered Salesforce RFI data (typos, duplicates, multiple contacts) that had to be matched to applicant records in the Student Information System using only limited common fields; the team had been doing error-prone joins and cleaning in Excel, a slow process that couldn’t scale.
The team built repeatable Alteryx workflows to clean, deduplicate, and join Salesforce RFI and SIS applicant data (routing via Denodo until direct Salesforce access is approved), then publish summaries to Tableau. That cut prospect-to-applicant processing from about 5 hours to 5 minutes, reduced routine reporting from most of a morning to ~30 minutes, saved an estimated 182 hours/year (~$5,500), increased confidence in results, and created a foundation for broader marketing and predictive analytics.
