Meow Wolf, the immersive arts collective running five-story, 90,000 sq. ft. projects, faced the challenge of visualizing and reporting all creative work across exhibitions, characters, scripts, merchandise and hundreds of thousands of connected objects—while staff were suddenly working remotely during the pandemic. Facing the need to present a clear view to executives and investors without building a custom tool, Meow Wolf turned to Airtable to capture and share the organization’s creative inventory and status.
Using Airtable, Meow Wolf built a central “show bible,” asset-tracking system, artist CRM, custom gallery views and forms (including a production photos field and scannable asset codes) to manage contracting, documentation and maintenance. Airtable-enabled workflows tied together hundreds of hours of content and helped contract over 50 artists, gave remote teams critical visibility to keep projects on track, streamlined repairs and collaboration, and helped Meow Wolf stay on schedule to open its Denver and Las Vegas exhibitions in 2021.
