How Insomniac Events slashed lost and found wait times by over 50%

Insomniac Events, a large live‑events production company, faced chronic lost‑and‑found challenges at crowded festivals: phones, wallets and even passports went missing and their Excel/Google Docs workflow made searching and accurate logging slow and error‑prone. To streamline the process they turned to Airtable, building a dedicated inventory base and using Airtable’s configurable fields and forms to better capture and track items.

Using Airtable, Insomniac Events replaced free‑form spreadsheets with single‑select dropdowns, an adaptable inventory base and Airtable forms for post‑show claims, which reduced duplicate entries and sped up lookups. The result: lost‑and‑found wait times dropped by more than 50% (peak wait times now about 30 minutes for complex items), return rates improved, staff hours and payroll costs were reduced, and overall guest satisfaction increased — all enabled by Airtable.
