College Esports Expo - Customer Case Study

College Esports Expo, founded by Kevin Mitchell at Emerson College, needed a way to give students hands‑on experience organizing the inaugural College Esports Expo under an extremely compressed two‑month timeline. Students were inexperienced and coordinating multiple departments (sponsorship, content, production, design/marketing, programming) with disparate spreadsheets and tools like Basecamp and Google Drive left too much room for error, so Mitchell turned to Airtable for a more flexible, centralized solution.

Using Airtable, Mitchell built a Department Outline base and gave each team its own customizable bases and views, imported Excel data, and created an event plan/budget with task checkboxes, due dates, linked records, and a master database of companies, teams, contacts, and media. Airtable’s real‑time syncing and customizable fields let novice teams coordinate production, venue layouts, schedules, and sponsorship outreach quickly and accurately—enabling the conference to be planned within the compressed timeframe, eliminating data fragmentation, and providing a reusable system for future CEX events.
