Scott County, MN partnered with Agile Fleet to address runaway personal vehicle (POV) mileage reimbursements and inefficient fleet processes. The county was spending roughly $250,000 annually on POV mileage and needed to automate and streamline vehicle reservations, share vehicles across departments, manage keys, improve utilization, and reduce staff workload. To meet those goals they deployed Agile Fleet’s FleetCommander solution.
Agile Fleet’s FleetCommander provided online reservations that enforce motor-pool use before allowing POV reimbursement, automated key control at three locations, and enabled departments to share and consolidate vehicles. As a result, Scott County cut POV reimbursement costs by more than 65% (from about $250K to $60K–$80K), reduced overall mileage by roughly 9%, dropped reimbursement requests from peaks near 300 to under 100, lowered staff time spent managing keys and expense reports, improved utilization and morale, and is finishing a FleetCommander module to automate reimbursements into payroll.
