Iowa State University’s Transportation Services, led by Fleet Director Kathy Wellik, CAFM, faced inefficient manual processes in its motor pool: customers emailed reservation requests that dispatchers rekeyed into the system, doubling workload and introducing errors, and the prior vehicle grid only showed half-day availability. To address these challenges the university partnered with Agile Fleet and implemented their FleetCommander fleet management solution.

Agile Fleet’s FleetCommander provided 24/7 online reservations, hourly vehicle availability, and automated billing (reducing five reporting steps to a single button), plus robust utilization reporting. As a result Iowa State cut vehicles across multiple classes and eliminated a staff position, achieving $612,514 in projected vehicle-reduction savings and reporting roughly $750,000 in total savings since automation; staff and customers report high satisfaction and increased engagement.
