Illinois State University - Customer Case Study

Illinois State University manages a diverse 280‑vehicle fleet used by faculty, staff and student organizations and faced challenges with a largely manual motor pool: tracking driver training and certifications, capturing mileage for billing and appeals, managing insurance and deposits for registered student organizations, and reducing costly outside rentals. To address these challenges the university worked with Agile Fleet, implementing the Agile FleetCommander reservation system to automate reservations, training records and fiscal reporting.

Agile FleetCommander centralized reservations with a vehicle‑optimization chart, allowed training completion to be posted to user profiles, enabled exportable billing reports, added a deposit feature and a "Guest" usage type, and supported delegated departmental requestors (with Illinois State exploring Agile Fleet’s automated mileage device). As a result, Illinois State University increased monthly reservations from an estimated 277 (FY2015) to 298 (FY2016) to 336 (Spring 2017), achieved 79% fewer enterprise rentals, streamlined billing and reporting, improved customer service and better accommodated vehicle requests — all outcomes attributed to Agile Fleet’s solution.
