The Yale Center for Clinical Investigation faced the common academic medical center challenge of duplicate manual entry between a clinical research management system and the electronic medical record — they had implemented Advarra’s OnCore® Enterprise Research system alongside the Epic EMR and needed an interface to reduce data re-entry that was risking patient safety, billing compliance, data accuracy and staff efficiency. Advarra was engaged to help bridge the two systems and address these operational gaps.
Advarra worked with Yale and Epic to build two interfaces — one sharing protocol and subject information and another exporting protocol billing grids (timeline of events, visit tolerances, chart types and Medicare modifiers) — which went live in February 2013. The integration improved patient safety by surfacing alerts for ED visits and admissions, strengthened billing compliance and charge routing across Yale’s hospitals, standardized SOPs, and saved staff time by eliminating duplicate calendar entry, demonstrating measurable operational and compliance gains for Yale.
