Warburtons, the UK’s largest family-owned bakery, faced growing IT pressures supporting 12 bakeries, 14 depots and thousands of retail partners while relying on an outdated Lotus Notes change-management process. The one-size-fits-all, 11-step workflow with multiple approvals created bottlenecks—Change Advisory Board meetings stalled decisions between meetings and 58% of projects were delivered late—putting at risk the company’s need to minimize IT service disruption.
Warburtons replaced Lotus Notes with Workfront in three weeks, introducing a 10-question form to categorize changes, template-driven workflows and real-time task tracking. The new process standardized approvals, empowered staff, and improved visibility: more than 90% of projects proved to be low-impact and are now mostly delivered on time, CAB meeting time fell from two hours to 30 minutes (saving about 12 management hours weekly), and audits and compliance reporting were greatly simplified.
