University hospitals of cleveland gains visibility into many portfolios with one solution from workfront

University Hospitals, a large Cleveland health system with nine medical centers, 20 outpatient centers, seven urgent-care centers and more than 160 physician offices, faced growing project complexity after its PMO was insourced in 2009. The team relied on an Access-based stopgap tool built for IT projects that proved cumbersome, scattered documents across personal laptops, required manual forecasting in spreadsheets, and lacked the visibility needed to manage multiple portfolios when a consultant recommended the PMO become the organization’s central project hub.

In fall 2012 UH adopted Workfront Enterprise Work Cloud, starting with 25 users and expanding to 200 by May 2013—an 800% increase. Workfront provided a central document repository, real-time Gantt charts and reports, and customizable standardization across departments. The PMO gained better planning, execution, communication and executive-level insights (including an alignment scorecard), enabling smarter resource allocation and improved financial performance.
