Loyola University Maryland, a Jesuit university in Baltimore with more than 6,000 students, faced repeated project failures and fragmented processes across Technology Services and other departments. A 2008 review revealed more than 180 inconsistent project listings in spreadsheets, prompting Loyola to create a formal PMO (commissioned in 2009) and seek a project portfolio management solution to improve processes, reconcile costs and resources, and support a new results-driven philosophy.
Loyola implemented Workfront to centralize proposals, business-case scoring, scheduling, document management, dashboards and resource tracking, retiring Excel, Microsoft Project and SharePoint for project work. The platform enabled real-time reporting, clearer accountability, streamlined collaboration and automated workflows—helping Marketing and Communications handle ~1,000 projects a year—and delivered measurable gains: an ~80% project success rate (51% above the industry average), 30–35% reduction in team emails, faster meetings and significant time savings.
