Ricoh UK, a document and IT solutions provider that has shifted from printers to paperless services, faced the challenge of sustaining strong client relationships and improving internal efficiency while meeting its sustainability goals. Sales teams often had to meet clients in person across the UK, slowing contract turnaround, and multiple mergers left HR with paper-heavy, inconsistent onboarding paperwork that delayed new hires and administrative workflows.

By deploying Adobe Sign (Adobe Document Cloud) integrated with its Siebel CRM and using the Adobe Sign API, Ricoh digitized sales contracts and employee agreements with e-signatures, automated routing, and required fields. The change enabled about 600 contracts per month, cut sales contract turnaround by roughly five days, reduced annual paper/printing/postage costs by at least £9,000, saved administrators about four hours per week, sped new-hire paperwork to roughly 15 minutes, improved data accuracy and accountability, and advanced the company’s sustainability commitments.
