San Diego State University (34,000+ students and 3,000 staff) faced the challenge of modernizing slow, paper-based workflows across HR, enrollment, finance, and other departments—problems that worsened when the COVID-19 pandemic made in-person processes impractical. Manual onboarding, add/drop petitions, travel approvals, and donor agreements required multiple in-person signatures and long turnaround times.

SDSU’s IT division rolled out Adobe Document Cloud with Acrobat Sign and Acrobat DC to create digital forms, automated routing, and bulk e-signing (Mega Sign). The change cut processing times dramatically—onboarding and petitions now take minutes or days instead of weeks, travel approvals are completed in hours, and HR can batch hundreds of forms in hours—delivering a paperless campus, faster response, better tracking, and improved compliance.
