Adlib Becomes a Key Element of the State Messaging and Archive Retrieval Toolset (SMART) System While Maintaining NARA Compliance for State Administration

The State Government Agency needed to modernize a decades-old ASCII cable system used for inter-bureau communication, while also meeting NARA archiving requirements and improving access, security, and collaboration. Adlib Software was selected to help replace manual, error-prone document processing with a more scalable solution, using its document transformation technology as part of the State Messaging and Archive Retrieval Toolset (SMART).

Adlib Software implemented automated conversion of incoming cables and attachments into PDF/A, with storage in Microsoft SharePoint, rule-based retention tags, role-based access controls, and DRM protections. The solution now processes 3,000–5,000 cables per day, reduces manual delays and errors, improves responsiveness and interoperability, lowers operating and IT costs, and enabled the State Government Agency to achieve NARA compliance.
