USA Based Major Shopping Center Company, which manages 32 shopping centres and over 5,000 retail outlets across the USA, needed to automate production of lease contracts and related documents while keeping negotiated wording consistent with data in its lease management system. The leasing team faced time-consuming, error-prone manual processes and frequent wording changes during heavy negotiations. They selected ActiveDocs to integrate with their lease management system and support automated document creation and controlled round-tripping of negotiated content.

ActiveDocs was implemented to generate initial lease packs automatically from lease-system data, provide a Document Wizard/User-driven Mode for negotiators, and use Active Snippets to protect data-driven fields while allowing wording to be edited. The solution enforces an automatic data refresh before any lease pack is released, ensuring contract parameters remain consistent even after extensive negotiation. As a result, ActiveDocs sped up contract turnaround, eliminated many manual errors, and ensured accurate, consistent lease documents without human intervention in initial document generation.
