ActiveDocs helps Ricoh New Zealand zero in on prospects with customized sales content

Ricoh New Zealand (Ricoh), a national provider of printing, imaging and managed document services, needed to customize sales proposals for each prospect but lacked in-house editing and relied on outside contractors. Its 40-person sales team produces about 500 proposals per month, so Ricoh implemented ActiveDocs document automation and template management software to give reps direct control over proposal content.

ActiveDocs was deployed through Ricoh’s intranet with a document-creation wizard, Microsoft Word export and Snippet Research for reusable content modules. The solution lets reps assemble proposals from menus of prebuilt content—about 80% of needed material is ready—cutting edits from hours or days to minutes (a simple change now takes two to three minutes), improving customization, consistency and overall proposal throughput for Ricoh.
