The University of Georgia Increases Creative Output With a Strong Metadata Strategy

The University of Georgia’s Marketing and Communications team manages a large library of campus photography used across departments, but struggled to get images into their DAM because metadata creation was too time-consuming and they didn’t have budget for a dedicated administrator. As a result, many valuable images were delayed or never uploaded, slowing distribution to stakeholders across campus.

UGA adopted a collaborative metadata workflow in the Widen Collective—splitting tagging tasks among photographers, student workers, and the operations manager, using a workflow metadata field, batch editing, metadata mapping, and Portals for self-serve access. This approach accelerated distribution, increased available assets (1M+ assets and 24k+ downloads in the last 12 months), freed photographers to focus on creative work, and delivered a stronger return on their DAM investment.
