B&B Payee Services is a 501(c)(3) nonprofit in Ypsilanti, MI, that provides representative payee, conservator, and financial-management services for low-income and disabled clients receiving Social Security or veterans’ benefits. By 2009 the organization was managing about 200 client accounts and found QuickBooks unable to scale: daily check runs, manual deposit entry, and time‑consuming, detail-heavy reporting for the SSA and VA were slowing operations and limiting growth.
B&B replaced QuickBooks with AccuFund Representative Payee, which automated bank deposit imports, streamlined check runs (with positive pay), auto-calculated SSA fees, and produced required reports and electronic client records. The change cut bank reconciliations from hours to minutes, reduced multi‑day check runs to a few hours, and sped weekly tasks from several hours to about an hour—improving overall efficiency 4–5x and enabling B&B to nearly double its client base from ~200 to ~400.
