Seattle Public Utilities (SPU), which manages drinking water, sewer, drainage and waste services for a city of 750,000, was running a 1990s-era engineering records system called “The Vault.” The on-premises system held roughly 750,000 files but had become slow, inflexible, and error-prone (with metadata issues), posed security and external-access limitations, and forced users to visit a public terminal—prompting SPU to seek a modern EDMS that could integrate with its GIS environment.

SPU partnered with Accruent to migrate to the cloud-based RedEye EDMS, using powerful data tools to clean, consolidate, and structure legacy records during the move. The result: 5x faster processing, a 44% reduction in files through deduplication, and 83% of users accessing records online via a new public portal—dramatically reducing office visits and administrative burden while improving access, security, and long-term records management.
