Texas A&M University's Department of Recreational Sports manages nearly 500,000 sq ft of bookable space across a 5,200-acre campus serving 64,000+ students and 1.2M participants a year. With hundreds of multipurpose spaces (courts, fields, natatorium, meeting rooms) and off-site excursions, the department faced frequent double-booking, complex invoicing needs, and the need for a single integrated scheduling and billing tool.
The department implemented EMS to centralize scheduling, invoicing and reporting—allowing detailed event capture (even individual swim lanes), “phantom rooms” for off-site events, and three-tiered billing for student, campus and outside groups. The solution automated workflows, eliminated conflicts, sped up reservations, simplified invoicing and contract management, reduced administrative costs, and generated new revenue opportunities.
