Digitizing Charts to Save Time & Money

Penn State Health partnered with Access to address a major challenge: hundreds of thousands of patient charts and records were still paper-based across multiple locations, creating heavy storage demands, labor-intensive processes, and slow access to information. The health system also needed a better way to bridge its paper records with its EMR environment. Access provided conversion services and a scan-on-demand platform to help digitize the records and support the transition.

With Access managing the conversion and ongoing records program, Penn State Health freed up an entire file room and even a football field’s worth of basement storage, creating space for 20 to 30 HIM workers and reducing the need for additional hires. Access also helped streamline retrieval, with more than 800 file requests processed monthly and over 1.4 million records inventoried across 40 locations. The result was faster access to patient records, significant time and cost savings, and better support for digital workflows and clinical staff.
