The Freemasons’ Grand Charity, which distributes grants and manages the Relief Chest Scheme, was struggling with slow, inconsistent and costly manual processing of nearly 200,000 annual Gift Aid envelopes handled by a four-person team. HMRC requires detailed, auditable records (including handwritten Gift Aid declarations and donor details), and rising volumes and regulatory pressure meant the Charity needed a more efficient, scalable way to process and store documents.

Working with C2S, the Charity deployed ABBYY FlexiCapture for automated capture and validation of handwritten forms (integrated with its Oracle back-office) and Spielberg FileDirector for electronic records management. The solution exports data to SQL and stores pre-indexed images for quick retrieval, delivering traceable, regulatory-compliant processing, reduced handling time and the ability to support growth without increasing overheads.
