SavaSeniorCare Administrative Services, which supports 187 long-term care facilities, faced a heavy administrative burden tracking continuous staff training—about 100,000 database entries per month. Paper sign-in sheets were faxed and hand-keyed by HR, a slow, error-prone process that involved roughly 300 people and made compliance, audits and record lookups difficult.

IT partnered with Agular Systems to deploy ABBYY FlexiCapture with pre-programmed Canon MFPs: HR generates OCR-ready rosters, instructors scan completed sheets to a secure network folder, the software extracts and validates the data, and employee records are updated automatically. The result: keyboard data entry is nearly eliminated, accuracy and traceability improved, administrative time and costs fell (now managed by a single IT person), adoption is high, and the solution is scalable to other HR and back-office processes.
