Inside Family Service Toronto’s Digital Records Transformation

Family Service Toronto, a century-old agency providing counselling and community programs in Toronto, faced an urgent records-management problem as it prepared to move to a new headquarters. Heavy reliance on paper — more than 500 bankers’ boxes of files and programs like Ontario’s Passport generating over 3,000 submissions a month — plus a small two-person IT team made storing, retrieving and complying with retention requirements slow, labour-intensive and risky.

FST implemented a managed DocuShare solution hosted in a Canadian Tier‑III data centre and engaged Process Fusion to run a dynamic intake workflow using ABBYY Recognition Server OCR to convert faxes, email and scanned mail into searchable PDFs. The result: automated capture and data extraction for about 40 active users, much faster search and retrieval, fewer data-entry errors, lower storage and capital costs by shifting to an operational model, improved security and integrations, and freed staff to focus on strategic initiatives.
