The New Forest National Park Authority, which protects and promotes the Park’s natural and cultural heritage, needed a way to store and search documents across the entire organisation. With only a Planning Department DMS and fragmented network folders, staff were scanning to image-only PDFs that SharePoint couldn’t search, so the Authority sought an OCR solution that would create compressed, searchable files without high ongoing costs.

They implemented Microsoft SharePoint together with ABBYY Recognition Server, which picks up scans from watched folders, converts them to searchable PDFs (and can convert emailed PDFs to Word), and exports them into SharePoint libraries. The system was installed in a day, is easily customised by IT, supports 75 users, and delivered a practical, cost-effective way to archive and quickly retrieve documents while receiving strong vendor support.
