The Prolepsis Institute is a Greek NGO running DIATROFI, a nationwide school food-aid and healthy-nutrition program launched in 2012. As the program rapidly grew (from about 6,000 to 62,000 participating students in one year), parents’ multipage questionnaires exploded in volume; manual data entry in Greek would have required roughly 10 of the institute’s 25 staff working full-time, creating an unsustainable bottleneck.
To scale efficiently, Prolepsis implemented ABBYY FlexiCapture through partner I.I.D. SA in September 2013 to scan, recognize and extract questionnaire data and create a digital archive. The automated workflow made document processing 10–15 times faster, cut full-time digitization staff from 10 to the equivalent of 2, eliminated many data-entry errors, freed physical storage space, and processed more than 102,000 questionnaires (930,500 pages) in the first three years—enabling the program to serve over 90,000 students and deliver millions of meals.
